Registrations & Accreditation

FEES

 

Participation Fee: 75 EUR / person / night
EUSA Entry Fee: 50 EUR / person (40 EUR for EUSA Associated Members)
Deposit per team: 3000 EUR

 
REGISTRATION PROCEDURE
 
Participants represent their universities. EUSA Member Federations can
submit General Entry Forms at https://rugby7s2025-registrations.eusa.eu  
defining a contact person to carry out the rest of the registration procedure,
including submission of the Quantitative forms, Travel Plans and Individual
Entries.
 

IMPORTANT INFORMATION: 
 
Only the following may participate as competitors in an EUSA EUC:

  • Students who are officially registered for and pursuing a course of study
    at a university or similar institute whose status as an institution of
    higher education is recognized by the appropriate national authority of
    their country; 
  • Former students of the institutions mentioned above who obtained their
    academic degree or diploma in the year preceding the EUC. 
  • Competitors shall not be younger than 17 and older than 30 years. Formula: EUC year (2025) – competitor’s year of birth = age.

Fees cover accommodation with full board, breakfast, lunch, dinner (starting with lunch on arrival and finishing with breakfast on departure day), transfer from official welcome points, local transport, training, competitions, and organisation of the event. The delegations are responsible to provide international health insurance for all their members.

 

ACCREDITATION PROCEDURE

 

Accreditation

The purpose of accreditation is to define the roles, rights and responsibilities of the participants in the European Universities Championships and to provide them with the necessary rights and access to carry out their tasks.

 

Accreditation Centre

The accreditation center for athletes, officials and volunteers will be located on the campus of the Bilkent University, DORMITORIES SPORTS HALL.  Dormitories sports hall is nearby the 81 & 82 dormitories which will be used for men teams’ dormitories. Upon accreditation, men teams can directly go to their rooms. The opening hours of the accreditation center are 8:00-22:00, which may be changed by the organizing committee in the light of the travel plans submitted. The accreditation for technical staff, guests and EUSA office will also be located at the same center. The center will also be nearby the athlete zone, EUSA office, Bilkent University staff offices etc.

Accreditation Procedure

The entire delegation is accredited by the designated team leader at the accreditation center.

  • Step 1: Data reconciliation and financial status check
  • Step 2: Briefing and orientation (accommodation, meals, local transport, facilities, check travel plan)
  • Step 3: EUSA Control Commission - check of entitlements
  • Step 4: Issue accreditation card
  • Step 5: Welcome packages

Required documents

Please prepare and collect all the necessary documents in advance.

  • Identity card or passport
  • Printed individual entry form, stamped and signed by the university
  • Signed declaration of liability
  • Signed accommodation policy
  • Transaction confirmation (if you have made a transfer before arrival and it has not yet been credited to the registration system, you can provide a transaction confirmation to prove the payment)

Accreditation card

An accreditation card is an official document issued by the EUSA and the organizing committee at the end of the accreditation process to confirm the identity and entitlements of participants.

  • The accreditation card must be worn by all participants in a clearly visible place and manner, thus facilitating the identification of participants by the security service and the efficient and rapid verification of their access rights.
  • The accreditation card is non-transferable, as each card contains personal data and personalized access rights.
  • In the event of loss of an accreditation card, the participant must apply for a new card in person at the accreditation center, by presenting a valid identity card or passport, at a cost of €50.
  • Every participant will get a personal QR code which check meal access rights.
